Outlook - New Features in Exchange Online

With the move to Exchange Online there are a number of new features available to users.

New Security alerts.

     You may receive this or a similar message when getting new emails: "You don't often get email from email@domain.com. Learn why this is important" header when receiving emails from new or uncommon email address.This is an additional piece of information provided when deciding if an email is legitimate or not. Full article available here

New Junk Folder

     Previously the Junk folder was mostly for senders/domains items marked by individuals. Exchange Online has more aggressive anti-spam measures and you may see more messages end up in the Junk folder than previously. These may be legitimate marketing emails or emails that are from regular senders but due to content, URLs, or attachments has been classified as Junk. 

     If you see items that shouldn't be junk in you can mark these as "Not Junk" by Right Clicking the message, selecting the Junk menu, and then selecting Not Junk. This will help our system improve its accuracy. 

As a note, if you use the Block Sender option all emails from that sender not just those that are spam-like will be delivered to junk. 

If you need to edit your Blocked Sender or Safe Sender options you can use the Junk menu in the top toolbar. Choose the appropriate tab you need to edit.                                   

Updated Outlook Web Access via outlook.office.com 

     With the move to Exchange Online we will now have access to the latest version of Outlook Web Access. Including built in integration with OneDrive, Office on the web, and Teams.

     You'll notice a new Outlook view, with new branding, different menus, and a different design but all of your options are still there they just may be in a different place. The quickest way to find an option that may have been moved is to select the Gear icon in the top right hand corner and use the Search function

Improved Message Recall

     After migrating Cambrian Email Accounts will have access to the new cloud-based Message Recall function. The previous message recall function relied on Outlook to do the work, it now integrates fully with the mailbox. While improved due to privacy concerns this function will only work within the Organization, any externally sent emails will not work with this. The new Message Recall function success rate is over double the previous. 

To recall a message the function is the same: open the mail item and under Actions select "Recall This Message."


After submitting a recall request, usually less than 30 seconds later, the sender will get an email notification from the service with the subject "Message Recall Report for message [original message subject]", like this one:

Just click on the View Message Recall Report link to view the report in your browser. If you’re prompted, log in with your mailbox credentials to view the report.

Branding Update

This new branding experience will be presented after entering your username when accessing https://portal.office.com for the main Office365 portal or https://outlook.office.com for direct access to Outlook for the Web. When visiting one of the above portals, you will be presented with the same generic O365 sign-in experience you are already accustomed to:

After you enter an @cambriancollege.ca or @mycambrian.ca username and click next, you will be directed to the Cambrian College branded Sign-In portal to enter your password. Take note of the Cambrian logo in the site tab and within the password box, as well as a watermark image of Cambrian’s Barrydowne Campus in the page background:

After you enter the portals the experience will change as well for example the top bar in Outlook:

This will not affect any accessibility options as high contrast and similar modes are still available via the Theme setting.
