You can customize your meeting settings in Microsoft Teams to control how attendees join, participate, and access chat and recordings.

Accessing Meeting Options

  1. Open Microsoft Teams and go to the Calendar app. Screenshot of the Calendar app in Teams.
  2. Double-click the class meeting you want to adjust, then click Meeting optionsUploaded Image (Thumbnail)

Meeting access

Who can bypass the lobby?

  • By default set to to People in my org and guests. This means that anyone with a link to the meeting can join directly.
  • If you want to ensure that only attendees using their Cambrian credentials can join the meeting directly and that anyone outside the organization stays in the lobby until admitted by the meeting organizer, change the settings to People in my org.

Roles

  • Use this to set up a co-organizerNote: The person must be added as an attendee first before you can assign them as a co-organizer.
  • You can search for users within your organization by name.

Who can present?

  • Set to Everyone by default.
  • We recommend you change this to Organizers and co-organizers. This prevents attendees from accidentally taking control of the presentation or sharing their screens.

Participation

Allow mic for attendees

  • Enabled by default.
  • Disable to prevent attendees from unmuting.

Allow camera for attendees

  • Enabled by default.
  • Disable this to prevent attendees from turning on their camera.

Meeting Chat

  • Enabled by default.
  • Teams chat is persistent, so conversations from previous sessions of the same course remain visible to all participants.
  • Return to the Chat after the meeting to find attendance report, recap, recording, and transcript.

Q&A

  • Disabled by default.
  • Enable to allows participants to submit questions during a meeting, which the organizer can review, manage, and answer in an organized way.

Allow reactions

  • Enabled by default.
  • Allows participants to react in real time with emojis that will float across the Teams window.

Allow attendance report

  • Enabled by default.
  • Provides a list of who attended a meeting, including their join and leave times and total attendance duration

Recording and Transcription

  • Enable Record and transcribe automatically if you wish to record all of the meetings in a series.
  • The meeting recording and transcription will begin as soon as you join the meeting. 
  • The recording will automatically be saved to your OneDrive for 150 days, a shareable link to the recording will automatically be generated in the meeting chat a few moments after the meeting ends.
